MAIN PURPOSE OF JOB:

To support the Quality, Compliance and Functional Skills Manager and be responsible for completing internal audit of all ESFA and GMCA funded programmes including audits on Subcontracted provision. Responsible for compiling data, producing analysis and reporting to SLT.

KEY TASKS:

  • Complete internal audits as per the Quality Audit Cycle and produce reports including by exception, probationary audits, break in learning, active learning, off the job, compliance deep dives and early leavers as a minimum.
  • Carry out external audits of sub-contractors and monitor their performance quarterly.
  • To assist the CEO with OFSTED/Quality Improvements via liaising with the Quality, Compliance and Functional Skills Manager.
  • To update staff annually on new funding rules and throughout the year, as required.
  • Training/coaching staff on paperwork and support the Quality, Compliance and Functional Skills Manager with designing the paperwork templates.
  • Support with preparation and facilitation of various external audits.
  • Where required to support the data and compliance team:
  • administer paperwork/data input through data claims submissions.
  • undertake validation activity to ensure accuracy and standards are met.
  • Respond to queries by various mediums such as phone, teams/zooms, messaging, email in a clear and articulate manner.
  • Promote Equality and Diversity.
  • To be committed to the safeguarding/prevent and welfare of all learners.
  • Work within strict data security protocols and always ensuring adherence to GDPR.
  • Liaise with internal and external partners as appropriate as appropriate using various forms of communication.

KNOWLEDGE AND EXPERIENCE:

  • Must have a number of years experience in an office environment.
  • Excellent IT skills, able to use Microsoft packages to a good standard.
  • Have the ability to work to challenging targets and key performance indicators.
  • Have experience of report writing.
  • Ideally have experience of using Management Information Systems.
  • Ideally have experience of working on publicly funded contracts within the education sector and necessary funding rules.
  • NVQ Level 2 in Business Administration or equivalent
  • GCSE Maths and English grades 4-9 or equivalent Level 2 qualification

COMPLEXITY AND CREATIVITY:

  • To be able to deal with stakeholders at all levels.
  • Must have attention to detail and ensure presentation is consistently to a high standard.
  • Must have a methodical and analytical approach.

JUDGEMENT AND DECISIONS:

  • To keep the quality department up to date on all ESFA changes.
  • Demonstrate efficient time management in balancing workload and priorities to meet deadlines.
  • Audit learners against external funding rules.
  • Have the ability to work unsupervised.

OPERATIONAL RESPONSIBILITY:

  • Oversee any work experience people in the office.
  • Timely input of learner paperwork.
  • To engage in CPD activities.
  • To work within the guidelines, policies and procedures of RTA at all times.
